We at OPEN recognised that getting the venue right can mean the difference between your event being a success or a failure.

We understand that when choosing a venue, whether it’s for a large international conference, an awards evening or a small networking event, there are lots of things to consider to make sure everything goes smoothly.

Here are our top five tips to consider when choosing a venue:

The venue location needs to be at the heart of your event plan. It should have good transport links, or parking space nearby.  Ensure that the location is somewhere that makes sense for the bulk of your guests, as well as being a desirable spot.  Here at OPEN we have the advantage of being in a central city location.

2. Size and layout
The size and capacity of the rooms must be just right, being too small will create overcrowding; whilst being too big will give a sense of emptiness and an unsuccessful event.  We have the flexibility to adjust the layout of all our rooms so that your event will always feel just right.

3. Technical equipment and support
State of the art technology is an essential part of any good conference or meeting.  This ideally needs to be accompanied by in-house technical support that knows the venue and what equipment is available. The latest in A/V technology along with on-site technicians is very much at the heart of what we offer including Wifi and plasma screens throughout the venue. Plus our Banking Hall comes equipped with a stage, a 7m presentation screen, HD projector and a fully integrated professional sound and lighting system.

4. Menu
Great food and drink will stick in your guests’ minds. Whether it’s canapés, a sit down meal or a drinks reception, ensure you have something available for everyone’s tastes.   Our Conference team can advise you on different menu options to meet your budget with all catering prepared onsite using where possible local produce.  Be sure to remember alternatives for people with special dietary requirements or food allergies.

5. Date and Time
Sounds simple, but make sure you check your calendar for significant events around the time you are planning, both within your industry (similar competitor events for example  and for other local events nearby).

You can be assured of a diverse approach at OPEN and we are passionate about making your event a success. If you are committed to corporate social responsibility, the profits from events held at OPEN go to helping make a positive difference to the lives of young people living in Norfolk.
